In 2026, this event will take place in Prague, Czech Republic, on 7th and 8th October. 

 

 

 

The event - which is recognized as the top source of the latest technical information on fire protection with water mist - will be as international as ever.

IWMA expects between 120 and 150 delegates from all four corners of the world. Speakers will talk about the latest developments in the field of fire protection with water mist. 

All attendees will get the chance to exchange ideas, to get updated, to network, to meet major researchers, manufacturers and distributors and to visit the exhibition which will run alongside the conference.

In 2026, a new element will be part of the conference: a 1.5-day CPD training course!

INFORMATION FOR SPEAKERS

 

DEAR SPEAKERS,

 

the final version of your presentation is due on 1st October. 

After the conference your presentation (and your paper) will be published on the IWMA webpage. If you’d rather it is not, please inform the IWMA head office.  

Please let the IWMA head office know if you will be using the PC that will be provided or if you will use your own laptop. If videos are included, it is in most cases better to use your own computer. If you would like to use your own device, please also bring e.g. the necessary cables! 

There will be a technician assisting you during the conference whom you can approach with your questions and requests!

No matter whether you choose to use the PC provided or not: Please bring your presentation on a memory stick and have it with you in the conference room! 

A photographer will take pictures of you giving your presentation. You will receive a selection after the conference! IWMA will use the photos for publications in magazines and on their webpage. If you do not want your picture to be published, please inform IWMA! 

You have 30 minutes (amount of time may have to be amended. Please check the programme for length of slots) for your presentation. This includes the q&a session! 

Please stick to facts and figures and be the expert you are! The audience seeks knowledge and wants to be updated, they do not appreciate commercial presentations! 

You may use the IWMA powerpoint template, but you do not have to. Please get in touch and I will send it to you! If you do not wish to use the template, IWMA would however kindly ask you to implement the IWMA or event logo. Please write to info@iwma.net and request the logos. 

Please check the programme a few days before the conference as the time of your slot may have changed. You can find the programme on the IWMA webpage once it is published.  

The price of your ticket depends on whether you would like to submit a paper together with your presentation (450 € for presentation only / 350 € for presentation and paper) 

Should you wish to submit a paper, please stick to the following specifications: 

  • Use a graspable title that reflects the content of your paper and keep the message that you wish to convey in mind at all times
  • Ideally, the title of your paper should be identical to the title of your abstract / presentation. Should you wish to give your paper a different title, please mention in the subheading what abstract / presentation your paper is based on!
  • List all authors if more people than you have contributed to the paper
  • Structure your paper (introduction: introduce your argument / middle part / result: summary and outcome) … in the middle part you are free to use text passages, tables, diagrams, statements etc. that underline your message. Make assumptions, talk about limitations etc. 
  • You may start your paper by inserting your abstract 
  • Stick to academic honesty: when you make use of other’s ideas and thoughts, you must give them credit
  • Do not forget the bibliography (list of works cited) 
  • There is no limit to the number of pages you may write, but sometimes less is more
  • Number your pages, number your passages and the words in your heading and subheadings should be in bold

SHIPMENT AND RESHIPMENT:

Please inform staff about bulky deliveries! And please let the hotel know in advance how many parcels you intend to ship to the conference hotel! Please inform the hotel also about the delivery date and time! 

And please make sure that deliveries will not arrive before 5th October! (not more than 48 hours prior to the event)

The exhibition area is inside rooms Neklan + Vlasta + Bivoj. The tables will be marked. Your parcels will be placed next to your table. 

The conference will take place in rooms Libuše + Bruncvík + Přemysl.

The set-up times for the exhibition are:

  • Tuesday, 6th October 2026 between 19.00 and 21.00 p.m.
  • Wednesday, 7th October 2026 between 7.00 and 9.00 a.m.
  • The space allocated to each sponsor will be approx. 3 square metres.
  • The tabletops are rectangular and measure 180x53 cm. 
  • Two chairs per table / sponsor / exhibitor will be provided. 
  • The carpet is green. 
  • The ceiling height is between 3.3 (under the chandelier) and 3.9 metres. 
  • Skirtings will be provided (if you wish).
  • The exhibition will close on 8th October at 12.00 p.m.
  • The get-out must be completed by 4 p.m.
  • All sponsors must take care of the removal and / or reshipment of their goods!!!
  • Dismantling your stand before 12.00 is not allowed!

All exhibitors having booked a courier to pick up their materials are kindly requested to:

  • make sure that the courier collects the material at the end of day 2 of the conference (you may ask to have your items picked up within 48 hours after the end of the event, but you need to make the necessary arrangements with the hotel!) 
  • label their materials - the company name and address must be clearly marked on each box!
  • let the conference team at The Grand International Prague know about your arrangements!

SOCIAL LIFE - After-Conference-Dinner

 

THURSDAY EVENING = After-Conference Dinner!

 

If you will stay in Prague after the conference (because your flight back home does not leave until the next morning or you will stay for the weekend to enjoy the sights of the city), you can join Max Lakkonen (IWMA President) and Bettina McDowell (CEO) for dinner.

 

Please note: The dinner is a self-payer event! Tickets are available at 125.00 € each. 

To buy your ticket for this dinner, please go to the ticket shop which is now open! (The ticket shop will close on 2nd October at noon / CEST!)

We plan to either go to a restaurant offering traditional Czech food or on a dinner cruise on the Moldova. 

A flyer with more details will be published soon. 

Please inform IWMA about any dietary requirements as soon as you have bought your ticket / no later than 18th September! 

Please note: the number of ticket may be limited! 

It will (most probably) not be possible to buy a ticket for that evening at the conference. All tickets need (ideally) to be booked in advance!

Cancellation: If after registration you find yourself being unable to attend the conference, you may change the name of the attendee without any additional costs. Cancellation less than four weeks prior to the conference will be charged with 20% of the conference fee. Cancellation less than one week prior to the conference will be charged with 50% of the conference fee. There will be no refund if you cancel your registration later than 2nd October 2026 (noon)!

Force Majeur: IWMA cannot be held liable for any event that may occur due to force majeur that may lead to changes of programme, cancellation of services and additional costs to attendees.

Data privacy policy: IWMA as organizer of the conference will use the attendees' data to process the registrations and to organize the conference. Furthermore, IWMA would like to provide information about future events and latest development in the field of fire protection and will therefore add the attendees' names and e-mail addresses to the e-shot mailing list. Attendee List: Shortly before the beginning of the conference an attendee list will be distributed via e-mail. There will be no e-mail addresses on this list. Photos: During the conference photos will be taken. PLEASE NOTE!!! 

The European Union’s Entry/Exit System (EES), launched on October 12, 2025, is an automated IT system that replaces manual passport stamping for non-EU nationals visiting the Schengen Area for up to 90 days. It requires travelers to register facial images and fingerprints at kiosks or counters. Full implementation is expected by April 10, 2026.

  • Who is Affected: Third-country nationals (including UK, U.S., and Canadian citizens) visiting the Schengen Area for short stays.
  • Who is Exempt: EU citizens, citizens of associated Schengen countries (Norway, Iceland, Switzerland, Liechtenstein), and holders of residency permits.
  • What is Recorded: Digital records of name, travel document, biometric data (fingerprints and facial image), and date/place of entry and exit.
  • Purpose: The system aims to speed up border checks, replace manual stamping, and automatically detect individuals who have overstayed their authorized 90-day limit.

Upon arrival at a Schengen country, non-exempt travelers will need to use automated kiosks (where available) or desks to register their data. There is no fee for this registration.
